Publication Procedure
The Conference has adopted two step publication procedure
- Publication of the papers in the conference preprint - papers accepted by blind review (three reviewers)
- Publication of the final conference proceedings (re-review if critical comments are given in the conference)
The the final proceedings have been published by IOS Press, Amsterdam, in the series of "Frontiers in Artificial Intelligence and Applications".
Submission procedure step by step
- Author and paper registration: the author will registrate her/his paper to be submitted in the conference and gives required contact and paper information. As a response a unique paper code is given. This will be the name of the submitted paper in the upload procedure in all phases.
- Submission a paper for review: The paper will be uploaded to the conference se3creteriat according to the instruction given below.
- Submission the "conference version" of the paper: The author has an opportunity to improve her/his paper according to the comments of the reviewer. The final "conference version" of the paper will be submitted according to the instructions given below. This paper will be published in the conference preprint (in the local publication series) and presented in the conference.
- Submission of the final paper: The author has an opportunity to improve the paper according to the discussions and comments given to it in the conference. The final version of the paper will be submitted according to the instructions given below. This paper will be published in the final conference book (in the series of an international publisher).
1. Author and paper registration
The registration is needed to inform the organizers about the authors' interest to submit a paper to the conference. As a response of the registration the author will get a unique paper code. It will be used to name the file in the submission and also as a code to identify the paper in the evaluation process. The steps of the registration processa are the following.
- Fill and submit the electronic registration form (http://www.pori.tut.fi/~hj/ejc/ejc-paperregistration.html) to the organizers. Every paper needs a separate registration even in the case that these are submitted by the same authors, because the paper code is individual for every paper.
- You will get immediate automatic response of the system by email about succesful registration without paper code. This is an automatic answer generated by the system.
- The secreteriat will review the information and send you by email a confirmation of the succesful registration and a unique three digit paper code. This phase of the process is manual and may take some days. The code is used from now on until the final publication to identify your paper and to specify the file name including your paper.
If you have not got your confirmation and paper code in a week after registration, or if you have some other problems concerning your papers registration, please contact the secreteriat by email (contact information below).
Do your paper registration only once to avoid confusion in the paper management process.
2. Submission a paper for review
The submission (for evaluation) is made by uploading the paper to the organizer's server using the upload procedure specified below. The uploaded paper identification in the server is based on the file name derived from the paper code (see: registration above). The paper MAY NOT include page numbers.
Paper submission for revie follows the steps below:
- Prepare and format your paper according to the guidelines specified in the document "Guidelines (pdf)". The file format of the submitted paper is either pdf or postscript . Other formats are accepted by the permission of the secreteriat (contact information at the end of this page).
- Submit the paper using the upload procedure found in the "Upload Area" at the bottom of this page.The file uploaded MUST HAVE the name derived from the paper code given by the organizers. Naming conventions - see below.
In the case of problems with uploading please contact the secreteriat (contact information at the end of this page). NEVER send the paper as an attachment of an email. This may cause technical problems because of the file handling (large files) mechanisms in the email systems!
Naming conventions
Every paper has an individual three digit paper identification code given to the authors by the organizers in the paper registration. The file name is constructed from the letter P, identification code and file type extension. E.g. the paper having identification code # 892 has the file name P892.pdf (for pdf files) or P892.ps (for postscripfiles).Instructions to produce pdf or ps files (in Windows)
In most text processing systems there are two alternatives to produce a pdf-file:
1. having the file in pdf-format
2. print the file using pdf-writer.
In most systems there are two alternatives to produce the pdf file, either screen or print optimized. To guarantee better print quality please select the alternative print optimized.To produce a Postscript file of your paper you should use "Print to file" -option in your text processing system while printing your paper. The printer specified to print the file must be (any) Postscript printer. If such a printer is not installed in your system you should add one, independenty if you have it or not. If you don't know how to install a Postscript printer or use "Print to file" option please consult your system administrator.
Tools helping to handle and manipulate pdf and postcript formats are available e.g. in Adobe's web pages. You may find also helpful tools to produce pdf from ps in http:/www.ps2pdf.com/ .
3. Submission the "conference version" of the paper
The paper is reviewed by (usually) three reviewers. Acceptance of the paper and the category of the paper is based on the results of the review process. If reviewers have given comments concerning the paper, the author has a duty to improve the paper to take into account the comments given. The improved paper must be submitted using the upload procedure found in the "Upload area" at the end of this page. Technical instructions to submit the paper are same as in the earlier phase (2. Submission a paper for review). In addition please take into account the following:
- Use the same paper code as used in "Submission a paper for review" phase. NO new paper registration is accepted.
- The paper must be personally presented in the conference. Otherwise it is not published in the conference preprint and in the final book of the conference.
- Please take into account the length regulations of the paper /category based, see call for papers) and presentation (see conference programme published in advance).
The conference preprint is published by the conference organizer in the local publishing series.
4. Submission of the final paper
One of the main ideas of the conference is to provide a forum for discussions and interaction for the researchers. Based on the feedback given in the conference every author has an opportunity to improve the paper for the final conference publication. The improved paper must be submitted using the upload procedure found in the "Upload area" at the end of this page. Technical instructions to submit the paper are same as in earlier phases(2. Submission a paper for review). In addition please take into account the following:
- Use the same paper code as used in "Submission a paper for review" phase. NO new paper registration is accepted.
- The paper must be personally presented in the conference. Otherwise it is not published in the conference book.
- Please take into account the length regulations of the paper /category based, see call for papers) and presentation (see conference programme published in advance).
- The programme committee has right to withdraw a paper from the final publication, if the guideleines to improve the paper are not followed or if it does not follow the page restrictions and othe rules given to prepare the paper.
The conference preprint is published by the conference organizer in the international publishing series.
